The head of the household is a single working mother with older teenagers.
She works full-time and has a very busy schedule.
Beyond being a personal assistant, your role is very significant in ensuring that everything in this busy woman's life runs smoothly.
The ideal candidate is someone who has extensive experience efficiently supporting busy professionals and a busy home, possesses a passion for organizing chaos, and ability to multitask in a fast-paced environment, as well as experience as an personal assistant/ household manager or similar roles which involve working in private homes.
Must be an excellent problem solver - able to anticipate challenges and proactively address issues, demonstrating strong problem-solving skills and attention to detail.
Must also be willing to jump in and help with whatever is needed.
Responsibilities:
- Check and respond to emails and phone calls regarding bills, invoices, and misc.
household maintenance and repairs - Manage family calendar - Create grocery list, buy and stock items - Organize and file receipts, documents, and files - Maintain inventory of household items (office supplies, cleaning products, supplies, etc.
) - Organize incoming mail and deliveries, make returns - Manage and oversee housekeeper and vendors - Help coordinate and plan events and parties - Schedule regular inspections to ensure home is well-maintained - Feed family dog, take her on short daily walk at the end of the day, schedule and take her to vet appointments - Light cooking and housekeeping (including laundry) - Preparing principal for travel (assist with packing and unpacking) - Organization projects - Caring for cars - Special Projects:
Assist in ad-hoc projects and assignments, working collaboratively with other team members to achieve organizational goals Skills:
- Domestic organization and tidying, detail oriented - Strong cooking and cleaning skills preferred (to occasionally fill in for housekeeper and chef's absence) - Strong communication skills that help facilitate smooth and efficient conflict resolution - Excellent time management to prioritize tasks and meet deadlines - Experience working closely with a family in their home and/or in a personal assistant role - Strong supervisory skills to oversee other staff and contractors - Proficiency in event planning for organizing community gatherings or tenant activities -Excellent computer skills including Microsoft Office Suite, Google Drive, and Asana as well internet research - Understanding of confidentiality required when working in a home and home office or tenant activities Note:
