This person plays a vital role in supporting the recruitment process by conducting various administrative tasks and initiating recruitment activities.
This position requires excellent organizational skills, attention to detail, and the ability to effectively communicate with candidates and hiring managers.
Responsibilities Recruitment Tasks (75%) 1.
Job Posting and Advertisement:
Post job advertisements on job boards, company websites, and other relevant platforms.
Ensure that job postings are accurate, up-to-date, and comply with company branding guidelines.
2.
Candidate Screening:
Review resumes and applications to identify qualified candidates for open positions.
Use a multi-channel approach to recruiting to source applicants through active and passive online channels (e.
g.
, social platforms and professional networks).
Conduct initial screenings of candidates to assess their qualifications, skills, and fit for specific roles.
3.
Scheduling Interviews:
Coordinate interview schedules and logistics with candidates, hiring managers, and interview panel members.
Confirm interview appointments and ensure that all parties are informed of relevant details.
4.
Interview Support:
Prepare interview materials, including interview guides, assessment tools, and candidate evaluation forms, and provide administrative support during the interview process.
Conduct phone interviews of candidates to assess their qualifications, skills, and fit for specific roles.
5.
Candidate Communication:
Serve as the primary point of contact for candidates throughout the recruitment process.
Communicate with candidates via email, phone, and in person to provide updates, gather additional information, and answer questions.
6.
Reference Checks and Background Screening:
Coordinate reference checks and background screening processes for selected candidates.
Collect and verify relevant documentation, such as employment references and educational credentials.
7.
Data Management:
Maintain accurate and up-to-date records of candidate information, application status, and recruitment metrics.
Input candidate data into the applicant tracking system (ATS) and ensure data integrity and confidentiality.
8.
Compliance and Documentation:
Ensure compliance with all applicable laws, regulations, and company policies related to recruitment and hiring practices.
Prepare and distribute offer letters, employment contracts, and other relevant documentation to selected candidates.
9.
Onboarding and Orientation Coordinate new hire onboarding process, including paperwork, orientation sessions, and training schedules.
Assist with new hire orientation facilitation.
Ensure that new employees have all the necessary resources and information to facilitate a smooth transition.
Administrative Tasks (25%) 10.
HR Administration Maintain employee files and administer quarterly file audits.
Provide administrative support to the HR department, including scheduling meetings and handling correspondence.
Assist with HR-related projects, initiatives, and events as needed.
Serve as an HR resource for directing employees and contractors to HR policies, procedures, and guidelines.
Qualifications Bachelor's degree in Human Resources, Business Administration, or related field preferred.
Two years of office experience preferred, with at least one year in human resources highly preferred.
Strong organizational skills and attention to detail.
Excellent communication skills, both verbal and written.
Proficiency in Microsoft Office suite and experience with applicant tracking systems (ATS) preferred.
Ability to maintain confidentiality and manage sensitive information with discretion.
Positive attitude, strong work ethic, and ability to work effectively in a team environment.
Familiarity with recruitment best practices and knowledge of employment laws.
Knowledge of HR principles, practices, and regulations is a plus.
